POSITION SUMMARY:
The Marshalltown Arts & Civic Center (MACC) is seeking a reliable and flexible support staff member to serve as the primary guest representative for the facility. This full-time role focuses on delivering exceptional service and smooth coordination of all event rentals and inquiries, while also supporting basic administrative and facility-related functions. The ideal candidate is organized, tech-savvy, personable, and thrives in a dynamic environment with a non-traditional, flexible schedule that includes evenings and weekends.
PRIMARY RESPONSIBILITIES:
Event & Rental Coordination
- Serve as the first point of contact for event rental inquiries via phone, email, or walk-ins
- Provide engaging and informative tours of the facility to guests
- Coordinate and finalize bookings, contracts, invoices, and event logistics
- Prepare event spaces before rentals and ensure post-event teardown
- Remain on-site and accessible throughout events to provide responsive support to guests
- Assist with setup and troubleshooting of A/V or presentation equipment in conference rooms
Guest Experience
- Welcome guests, answer questions, and maintain a helpful, professional demeanor always
- Respond to event/rental inquiries promptly and professionally
- Handle guest concerns and conflicts tactfully and effectively
- Maintain a visible presence at the front desk during office hours
- Answer phones, respond to emails, and manage scheduling inquiries
Administrative Support
- Perform clerical tasks such as filing, scanning, typing, and basic correspondence to support the MACC team
- Utilize Microsoft Office Suite and event scheduling software for records and communications
- Assist with the organization of event supplies and inventory
Financial Oversight & Budget Support
- Handle rental payments and provide receipts to guests
- Track event-related expenses
- Manage event-specific budgets efficiently and responsibly
- Other duties as assigned
QUALIFICATIONS:
- Associate or bachelor’s degree in Events & Hospitality or a related field; or 4 years of equivalent experience (The MACC is an Equal Opportunity Employer)
- Preferred: 1-2 years of customer service, hospitality, or event coordination experience
- Ability to work a flexible schedule, including evenings and weekends
- Outstanding interpersonal and communication skills
- Coachable and adaptable to changing priorities or workflows
- Physically able to lift 40+ pounds and move equipment or furniture
- Valid driver’s license and reliable transportation
- Must have a response time to the facility within 15 minutes
- Must have a high level of interpersonal skills to handle sensitive and confidential information. The position continually requires demonstrated business etiquette.
